General Terms and Conditions of Use and Sale (T&Cs) – TripTy

01 - Service Provider

(hereinafter "the Provider" or "TripTy")

02 - Purpose

These general terms define the rights and obligations of the parties when using the TripTy platform operated by TripTyMizer SRL.

The platform enables freelancers and SMEs to simulate, book, and optimise the tax treatment of business trips, including those with a private component.

03 - Services Provided

  • Tax and accounting simulation of the split between professional, private, and benefit-in-kind (BIK) expenses.
  • Travel concierge and booking services (flights, hotels, events, transfers, etc.) through partners (e.g. Amadeus, Booking, Accor).
  • Mandatory annual subscription granting access to the core services.
  • Per-trip service fees calculated as a percentage of the total amount and/or as fixed fees.
Services are limited to professional (B2B) clients holding a VAT number.

04 - Sign-up and Contract Formation

  • Registration and service orders are placed online on the TripTy platform.
  • The contract is formed electronically once the subscription or booking payment is validated.
  • Electronic validation (ticking "I accept the T&Cs" or clicking "Confirm") constitutes signature and full acceptance of these terms.
  • The applicable T&Cs are those in force on the validation date. A downloadable copy is available on the site.

05 - Eligible Users

TripTy primarily serves freelancers, companies, and SMEs established in Belgium, and remains accessible to professional users abroad subject to legal and tax compatibility in their country.

06 - Tax Responsibilities

  • The client and/or their accountant bear sole responsibility for validating any tax deduction.
  • TripTy provides optimisation and documentation tools but does not guarantee the deductibility of each expense.
  • For mixed trips, only strictly business expenses and days are deductible.
  • Any private portion paid by the company must be treated as a Benefit in Kind (BIK) under Belgian law.
  • The client undertakes to use TripTy in good faith and not to classify personal expenses as business costs.

07 - Bookings and Payments

  • Payments are processed via Stripe Connect.
  • 100% of the trip amount is due upon registration.
  • Supplier fees, taxes, and terms (airlines, hotels, event organisers) apply and prevail whenever they are more stringent.

08 - Subscription

The TripTy subscription runs for 12 months and is tacitly renewed for successive 12-month periods.

The client may terminate at any time before renewal by emailing info@tripty.be. A written acknowledgement of receipt is considered proof.

Prices are quoted excluding VAT. The client accepts electronic invoicing.

09 - Service Availability and Maintenance

TripTy strives to ensure continuous service availability, except during planned maintenance.

The Provider does not guarantee absolute availability and may suspend the service temporarily for updates, maintenance, or in the event of technical incidents.

TripTy applies industry-standard security measures but cannot be held liable for unauthorised access resulting from client negligence (passwords, shared access, etc.).

Clients are informed by email or via the platform in the event of significant planned interruptions.

10 - Client Obligations

  • Provide accurate and up-to-date information.
  • Keep the required accounting evidence (invoices, invitations, proof of attendance).
  • Use TripTy services strictly for professional purposes.
  • Properly declare any private portion (BIK) and required per diems.

11 - Personal Data (GDPR)

TripTyMizer SRL processes personal data in accordance with its GDPR Privacy Policy available on tripty.be.

Data sharing is limited to providers required to deliver the services (bookings, payments, support).

No resale or external commercial use is carried out.

  • Data collected: identity, contact details, relevant tax information, travel preferences.
  • Rights of access, rectification, deletion, and objection via info@tripty.be.

12 - Limitation of Liability

  • TripTy cannot be held liable for tax reassessments or expense reintegration decided by the authorities.
  • TripTy accepts no liability for third-party providers (airlines, hotels, event organisers).
  • TripTy’s liability is limited to the amount invoiced for the relevant service.
  • The Provider is not responsible for indirect damages, data loss, or loss of profit.

13 - Force Majeure and Suspension

TripTy cannot be held liable for any failure or delay resulting from force majeure (e.g. pandemic, war, network outage, strike, administrative decision).

If force majeure lasts more than 30 days, either party may terminate the contract without compensation.

14 - Intellectual Property

All elements of the TripTy platform (texts, logos, visuals, algorithms, interfaces) are protected by copyright and intellectual property rights.

Any unauthorised reproduction, distribution, or use is strictly forbidden.

15 - Changes to the T&Cs

TripTyMizer SRL reserves the right to amend these terms at any time.

Clients will be informed:

  • by email
  • via a notification on the platform
Continued use of the service after publication constitutes acceptance of the new terms.

16 - Governing Law and Jurisdiction

These terms are governed by Belgian law, subject to applicable European law.

Any dispute relating to their validity, interpretation, performance, or termination falls under the exclusive jurisdiction of the courts of Liège (Belgium).

17 - Acceptance

Using TripTy services, creating an account, or confirming an order implies full acceptance of these T&Cs.
